This policy explains what personal information BetterWays collects, why we collect it, who we share it with and what you can do about it. It covers this website and the enquiry, booking and marketing systems we run behind it.

We are the data controller for the information described here. You can reach us at matthew@betterwayssolutions.co.uk or on +44 7864 286695. We are based in Bridgend, South Wales, and we work with businesses in the United Kingdom and the United States.

What we collect

When you contact us or book a call. Your name, email address, phone number, business name and anything else you choose to tell us in a message or on a call. We need this to reply to you and to work out whether we can help.

When you use the website. Standard technical information such as your IP address, browser and device type, the pages you visit, how you arrived and how long you stay. This is collected through cookies and similar technologies, and only where you have agreed to it.

If you become a client. Business contact details, billing information, and access to the marketing accounts and systems we manage on your behalf. Where we handle enquiry data belonging to your own customers, we act as a processor for you and you remain the controller of it.

We do not knowingly collect information from anyone under 18, and we do not collect special category data.

Why we use it, and our legal basis

  • To answer your enquiry and provide our services. Legal basis: performance of a contract, or steps taken at your request before entering one.

  • To send you marketing about our services. Legal basis: your consent, or our legitimate interests where you are an existing client or have asked us for a price. You can opt out of any message at any time and every message we send carries a way to do that.

  • To measure how the website and our advertising perform. Legal basis: consent, through the cookie choice you make on the site.

  • To meet our legal and accounting obligations. Legal basis: legal obligation.

Cookies and tracking

The website uses cookies and similar technologies for two purposes: making the site work, and measuring performance. Non-essential cookies only load if you agree to them, and you can change your mind at any time through your browser settings or by clearing the site's data.

We use Google Analytics 4 to understand how the site is used, and the Meta pixel to measure the results of advertising we run on Facebook and Instagram. Both may set cookies and both process data outside the UK. You can opt out of Google Analytics using Google's own browser add-on.

Who we share it with

We do not sell your information. We share it only with the suppliers that let us run the business, and only as far as they need it:

  • GoHighLevel, our customer relationship and messaging platform, which stores enquiries and handles email and SMS follow-up

  • Framer and Vercel, which host our website and our clients' sites

  • Google and Meta, for analytics and advertising measurement

  • Our accountants and professional advisers, where required

Some of these providers are based outside the United Kingdom, including in the United States. Where information is transferred abroad we rely on the safeguards those providers put in place, such as the UK International Data Transfer Addendum or an adequacy decision.

We may also disclose information where the law requires it.

How long we keep it

Enquiries that do not become clients are kept for up to two years, so that we can pick up a conversation if you come back to us. Client records are kept for the length of the engagement and then for six years, to meet accounting and tax requirements. Marketing contacts are kept until you opt out, and a record of your opt out is kept permanently so we do not contact you again by mistake.

Your rights

Under UK data protection law you have the right to ask us for a copy of the information we hold about you, to have it corrected if it is wrong, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time.

If you are not happy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk, by calling 0303 123 1113, or by writing to Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF. We would rather you came to us first so we can put it right.

Marketing messages

We only send marketing emails and texts to people who have consented, or to existing clients and people who have asked us for a price about services similar to the ones they enquired about. Every message includes a simple way to opt out, and we act on opt outs promptly. This follows the Privacy and Electronic Communications Regulations.

Changes to this policy

We update this policy when what we do changes. The date at the top of the page is when it was last revised.
